Privacy policy
This policy explains what information KAIONE ("we") collects when you use kaione.co, the chat and voice call with the agent, and our email updates, why, and what your rights are.
Draft for legal review. This wording is not final.
01 Who is responsible
The data controller is KAIONE, company no. [to be set: company number], [to be set: registered address]. For any privacy question, contact [to be set: contact email].
02 Do you have to give us information?
No. Providing information is voluntary. Without contact details we can’t get back to you, prepare a proposal or schedule a meeting.
03 What we collect
- Contact form: name, organization, role, email, phone, areas of interest, your message and how you heard about us, if you chose to say.
- The "want to hear more?" prompt: your name, phone or email, and when suits you for a call back, if you chose to say.
- With an inquiry: the page you wrote from, the referral source and UTM parameters, and a short summary of the visit (how long you read, which sections and pages). The summary is made in your browser and reaches us only together with an inquiry. Your IP address is used only for rate limiting and is not stored.
- Chat with the agent: the conversation, the page you opened it on and an AI-generated summary.
- Voice call: a transcript and an AI-generated summary. We do not keep a recording of your voice.
- Meeting requests: your preferred times and the topic.
- Email updates: your email and a record of your consent, only if you agreed to receive them.
04 Why we use it
- To get back to you, understand your needs and prepare a proposal.
- To schedule meetings.
- To prioritize our replies.
- To improve the agent’s answers, based on saved conversations.
- To send updates and professional content, only if you agreed.
- To protect the site from overload and abuse, meet legal obligations and protect our rights.
For visitors in the EU, the legal bases are steps taken at your request before entering a contract, legitimate interest (security, abuse prevention, prioritizing replies and improving the agent), and consent (email updates).
05 Artificial intelligence
- The chat and voice call are run by an AI agent, not a person. We say so at the start of every conversation.
- The agent’s answers may be wrong. They are not advice and do not bind us.
- Each conversation is summarized automatically so we can follow up. Tone is assessed from the text only, never from your voice.
- Each conversation also gets an automatic score estimating how well the inquiry fits our services. The score is used only to prioritize our replies.
- Each inquiry gets an automatic analysis that summarizes it and suggests our next step and questions for the call. It is used only to prioritize and prepare, and a person decides what to do.
- No automated decisions with significant effects are made about you.
- Your information is not used to train AI models.
06 Voice calls
We ask for your permission before the microphone turns on, and it is on only during the call. ElevenLabs processes the audio in real time to turn speech into text and to voice the agent’s replies. We do not keep a recording of your voice: only the transcript and summary are saved. You can always write to us instead.
08 International transfers
The site and the database are in the United Kingdom, which the EU recognises as providing adequate data protection. The providers that run the agent operate in the United States, so conversation content is also transferred there. We transfer data only to providers that have committed in writing to protect it, as required by the Israeli Privacy Protection (Transfer of Data to Databases Abroad) Regulations, 2001, and, for EU visitors, by the GDPR.
10 Email updates
We send marketing email only with your explicit consent. Every message is labelled as advertising and includes an unsubscribe link. You can also ask at any time to be removed from our mailing list.
11 How long we keep it
- Inquiries that did not lead to work together: up to 24 months.
- Transcripts, summaries and inquiry scores: up to 24 months.
- The mailing list: until you ask to be removed.
- Consent records: as long as needed to prove consent.
- Client information: as the agreement and the law require.
12 Security
We protect data with standard organizational and technical measures, including encryption in transit, role-based access, authenticated sign-in and separated environments. No system is completely secure; if an incident occurs we will act as the law requires.
13 Your rights
- See the information we hold about you.
- Ask us to correct or delete it.
- Ask to be removed from our mailing list and withdraw your consent to email updates.
- If you are in the EU, also restrict processing, receive your data in a portable format, object and complain to a supervisory authority.
To exercise a right, write to [to be set: contact email]. We reply within 30 days.
14 Minors
The site is intended for businesses and for people aged 18 and over.
15 Changes
If we change this policy materially, we will post a notice on the site before the change takes effect. The date of the last update is shown at the top of the page.
